Understanding Notarization

The Purpose Behind Every Document Notarization

Behind every signature is a contract or a decision that cannot easily be undone. One signature can carry serious consequences. Notarization helps guard against fraud by putting a witness between the signer and the document. Many organizations call for this step before accepting important paperwork.

That’s why a notary checks the signer’s identity and makes sure they are signing voluntarily. Then they place their official signature and seal stamp. If notarization of documents is improperly completed, paperwork immediately gets rejected.

Note: For documents crossing borders, various organizations also demand an apostille or authentication certificate before they can be used abroad.

The Main Types of Notarization

Acknowledgment

The signer confirms who they are and acknowledges signing by choice. This act commonly applies to deeds, contracts, and powers of attorney.

Jurat (Oath or Affirmation)

The signer affirms that the document's contents are true and then he/she signs in front of the notary. Affidavits often need this act.

Certified True Copy

A notary may verify that a copy matches the original document where state law allows it. However, some documents are excluded.

Signature Witnessing

Sign your document in front of a notary. They'll check your ID and witness your signature as required by law.

Inside a Notarization Certificate

The Requirements for a Valid Notarization Certificate

In the U.S., a notarial certificate records the act performed by the notary. Its wording and details must meet the rules of the state where the document notarization takes place. Those rules are not the same everywhere. The certificate may be printed directly on the document or attached as a separate sheet. Either way, it becomes part of the record.

Letters are no exception. An authorization letter or verification letter may also require notarization. You sign in the notary’s presence, and then the notary completes the certificate below your signature.

Note: Florida certificates distinguish between signers who appear in person and those who appear through online notarization. The method of appearance matters, so the certificate must reflect it accurately.

  1. VenueThe county and state where the notarization takes place.
  2. DateThe exact date the signer appeared for notarization.
  3. Signer's NameThe name of the person whose signature is being notarized.
  4. Notarial WordingThe wording that identifies the act performed.
  5. Notary SignatureThe notary signs their name exactly as it appears on their notary commission.
  6. Official SealThe notary affixes the official seal to the notarial certificate.

FAQs

What to Know Before Your Appointment

Find more answers on our general FAQ page.

What Documents Require Notarization?

Not every document needs a notary. Powers of attorney and affidavits often do. The deciding factor is what the law or the receiving agency requires.

Can I Get a Document Notarized Online?

Yes. RON lets you get it done from home. You'll need to join a video call for identity verification and sign your papers electronically. But the process isn't allowed in every U.S. state.

Which States Allow Remote Online Notarization?

As of October 2026, 42 states and Washington, D.C. have RON laws in effect. Three more have passed laws that aren't yet in effect. Five states have yet to authorize RON.

What Is the Difference Between Notarization and Apostille?

Notarization verifies a signature and also checks if the document was signed willingly. An apostille is more like an authentication of a public document.

What Do I Need to Bring to My Notarization Appointment?

All you need to do is bring your document and a valid ID card. If you're having your document notarized remotely, you may also need a camera and a stable internet connection.

Can You Notarize a Document That Isn't in English?

Yes, we can. But it depends on your state law and whether the notary can understand your document. Otherwise, you may need a translation of that document before the appointment.

Do Translations for USCIS Need to Be Notarized?

Usually, no. USCIS asks for a complete English translation along with a certificate from the translator. But notarization is a completely separate step and isn't normally required with USCIS.

What If a Document Presented for Notarization Has No Notarial Certificate?

Don't worry; you don't have to guess which certificate belongs on your document. We can help you with the next step. However, before that, the receiving agency first needs to confirm which notarial act is needed.

Can You Notarize a Birth, Marriage or Death Certificate?

A notary normally can't notarize or certify the original vital record. You have to contact the government office that issued it for a certified copy.

How Long Does the Notarization Take, and How Much Does It Cost?

A straightforward appointment may take just a few minutes once everything is ready. Our cost is up to the service and your location. Get a quote first so there are no surprises.
